Platform features
Every feature a football organizer needs — engineered by people who run cups
cuphelp.com is built from the venue car park up. Each module — registration, scheduling, brackets, referees, accommodation, payments, analytics — was designed alongside organizers running real youth and adult football tournaments. Below is an honest tour of what the platform does, how the parts fit together, and the engineering decisions that make it reliable on tournament weekends when nothing can break.
Everything Your Football Club Needs to Run a Youth Cup
Registration, payments, scheduling and hospitality — all in one place
Cross-Border Team Registration
Invite clubs from across Europe to register for your youth cup online. Multi-language invitations, automatic confirmation emails, and a live registration dashboard — all in one place. No PDFs, no email threads.
Finance Tracking, Your Money Stays Yours
You collect registration fees with your own bank, Stripe, Swish, or invoice — cuphelp.com never touches your money or takes a cut. The Finance dashboard tracks who has paid, sends reminders, and exports CSVs so you stay in full control.
Youth Cup Bracket & Schedule Builder
Build group stages, knockout brackets and age-group formats in minutes. AI Bracket Optimizer automatically draws groups to avoid same-country clashes in early rounds. Works for U7 through U18.
Hotels & Food Logistics for Visiting Clubs
Let visiting teams book accommodation and meals directly through your tournament page. Manage hotel allocations, dietary requirements, and arrival schedules — without a single spreadsheet.
Live Scores & Results Page
Every tournament gets a public results page your teams, parents and fans can follow in real time. Share one link — works perfectly on mobile.
The eight modules that run your tournament
cuphelp.com is a single connected system rather than eight separate tools. A team registered on Friday evening flows through approval, payment, fixture generation, accommodation, and post-match scoring without anyone re-keying a single data point.
AI auto-scheduling
Generate the entire tournament schedule — group rounds and knockout brackets — with one click. The engine respects pitch availability, referee rosters, age-group time windows, and team rest minimums.
Bracket builder & live progression
Single-elimination, group-to-knockout, and round-robin formats render as visual brackets. Winners advance automatically as scores are entered, and the public bracket page reflects changes within seconds.
Team registration & approvals
A public registration form per tournament collects coach contact, jersey colours, age category, and player count. Organizers approve, reject, or request changes from a single Kanban-style queue.
Referee management
Maintain a roster with certifications, hourly rates, and availability windows. Auto-assign or manually drag-and-drop referees onto fixtures. Track match counts and rates to streamline post-tournament payouts.
Venues & accommodation
Configure pitches with surface, size format, and allowed age categories. Offer accommodation packages with capacity limits and per-night pricing that teams book during registration.
Payments & finance
Set early-bird, base, and late-fee tiers per age category. Track who has paid (via your own payment provider — Stripe, PayPal, Swish, bank transfer, or invoice), send reminders, and reconcile against tournament budgets. cuphelp.com does not process money on your behalf.
Analytics & reporting
Live dashboards for registrations, revenue, match completion, and referee utilisation. Export team lists, fixture sheets, and finance reports as CSV or PDF.
Communications
Send templated emails to teams, referees, and accommodation providers with merge fields for tournament name, kickoff times, and pitch numbers. Status timelines record every send.
Built on the reality of running football cups
Designed with organizers, not for them
The original cuphelp.com prototype came from a Swedish youth-cup organizer who was rebuilding the same Excel sheet every spring. We sat at the registration table during three full tournaments before writing a single feature spec. Every rough edge — the moment a coach calls because they got the wrong pitch, the late drop-out at 21:00 the night before kickoff, the referee whose certification expired mid-event — became a product requirement.
What that gave us
- Inline match rescheduling with dnd-kit instead of multi-step modal flows
- Auto-progression of winners so finals slots are never blank on the public bracket
- A live venue display mode that runs unattended on a stadium TV all weekend
Engineered to never go down on match day
The platform runs on Supabase Postgres with Row-Level Security and is hosted on a globally distributed edge network. Public bracket pages and live displays are read-optimised and cached at the edge so that 5,000 parents refreshing at half-time does not slow down referee score entry. We monitor uptime, query latency, and edge function logs so issues are caught before organizers notice them.
Trust signals
- Hosted on managed cloud infrastructure with automated backups
- Strict RLS isolation between tournaments and organizers
- Audit logs on every authentication and privileged action
- GDPR-aligned data handling and EU-hosted database
