Why 5-a-side needs different software than 11-a-side
At 11-a-side you typically run 1–2 matches per pitch per hour. At 5-a-side you can hit 5–6 matches per cage per hour. That changes everything: a tiny scheduling error in 11-a-side costs you 10 minutes; the same error in 5-a-side cascades across 30 fixtures before lunch. The fixture maths most organisers get wrong
A common mistake: an organiser books 3 cages for 6 hours and assumes they can fit "around 50 matches". The honest number is closer to 70 — but only if turnarounds are tight and nobody picks up an injury. Here is the working I use:
- Match length × 2 halves + 2 minutes turnaround = effective slot length.
- Total match-hours = cages × hours × (60 / slot length).
- Subtract 10% for unplanned stoppages (always).
For 7-minute halves with a 2-minute turnaround on 3 cages over 6 hours, that is roughly 67 matches. Round down to 60 in your published schedule and use the buffer for finals. If you try to publish 75, you will be apologising by 14:00. Format recipes that actually work
The format you pick decides the entire day. These are the three I trust for 5-a-side:
- 16 teams · 4 groups of 4 · top 2 advance. Each team gets 3 group games + quarter-final minimum. Fits 28 fixtures comfortably in a half-day on 2 cages.
- 24 teams · 6 groups of 4 · top 2 + 4 best thirds. Best balance of fair progression and total match count for a full day on 3 cages.
- 32 teams · 8 groups of 4 · straight knockout. Festival format — every team guaranteed at least 4 matches. Needs 4 cages or a 12-hour day.
Avoid "Swiss" formats below 16 teams — the maths gets ugly fast and parents lose the plot on who is playing whom. - Take payment up front, not on arrival. A "pay on the day" team has a 30–40% no-show rate. A team that has paid £180 has a 3% no-show rate.

- Offer at least one non-card payment option. Workplace teams routinely need invoicing; community teams in Sweden expect Swish.
